About the Referral Requests Form

This service tracks any referral requests from a prospect or customer for products or services not directly offered by the organization but available from one or more of the organization's partners.

Attachments Tab

The Attachments tab lists any files relevant to the Referral Requests record.

Comments Tab

The Comments tab stores all any comments relevant to the referral request.

General Tab

Company

The name of the company requesting the referral.

Person (Required)

The name of the contact person at the company requesting the referral.

Status

The status of the referral request. Standard options are Pending (referral is pending), Distributed (request has been sent to a qualified vendor), Closed (request closed), and Cancelled (request cancelled). When Status is Pending and Qualification Mode is Open, then Aptify automatically identifies suitable vendors for the referral on the Vendors tab. See Creating Referral Requests for more information.

Date Requested

The date the referral request was received.

Date Response Required

The date a response is required as specified by the company/person requesting the referral.

Date Closed

The date the referral request was closed.

Referral Type

The type of referral. This field links to the Referral Types service (see About the Referral Types Form). Note that at least one Referral Type must be defined to save a Referral Requests record.

Communication Preference

Select from Indirect, Direct, or Anonymous.

  • Indirect: The organization includes the name of person/company requesting the referral but partners should send responses through the organization rather than directly to the person/company.
  • Direct: The organization requests that partners respond directly to the person/company requesting the referral.
  • Anonymous: The organization does not provide partners with contact information for the referring party. All communication goes through the organization.

Qualification Mode

Determines the method of partner selection. Available options are Open or Closed. When Status is Pending and Qualification Mode is Open, then Aptify automatically identifies suitable vendors for the referral on the Vendors tab. See Creating Referral Requests for more information.

Matching Mode

Tracks the model used for matching qualified partners with the request when the Qualification Mode is set to Open and Status is set to Pending. If Partial is selected, a company only needs at least one matching Topic Code to the Topic Codes selected on the Referral Request. If Complete is selected, a company must match all of the Topic Codes selected for the Referral Request to qualify as a potential vendor.

Opportunity

If this referral request was created based on on-going negotiations with a prospect as part of an opportunity, then this field can link the referral request to that Opportunities record.

Campaign

If the referral request was generated due to a marketing campaign, then this field can link the referral request to that Campaigns record.

Request Details Tab

The Request Details tab tracks the details of the request as provided by the person/company making the request.

Topic Codes Tab

This tab displays the Topic Code selections for this referral request. When Status is Pending and Qualification Mode is Open, then Aptify automatically identifies suitable vendors for the referral on the Vendors tab by matching Topic Codes between the two records. See Creating Referral Requests for details.

Note that a Topic Codes tab does not appear on the Referral Requests form by default so you may need to add it manually. See Configuring Referral Requests for more information.

Vendors Tab

The Vendors tab lists all vendors associated with the referral request. See About the Vendors Form for Opportunities.
