Once the status of the meeting is changed, it is common to want the status of the registrants to be updated as well. This functionality is provided by the Close Meeting wizard. The status of the registrant determines on which sub-tab of the Meetings tab on the Products record the registrant's record displays. For example, if the status of the registrant is set to Attended, the record displays on the Attendees tab, and so on.
- Click the Close Meeting button to launch the Close Meeting wizard. A list displays of the registrants for that meeting.
- The list of registrants may be filtered by making a choice of status types in the Filter list. If you want to view only the records of a single status type, select a filter option from the list. The viable choices are Register, Waiting, Cancelled, Attended, or No Show.
The records can now be updated individually or as a group, as described below.
Updating Registrants Individually
A meeting registrant's status can be changed individually by selecting the Status field on the individual registrant's row and choosing the appropriate status.
- Select the Status field for the specific registrant's record.
- Choose the appropriate status. Continue with this process until you have updated the status of all applicable meetings.
- Click OK to begin the status change process.
- Click OK again to update the registrant information.
Updating Registrants as a Group
A list of meeting registrants can all be changed to the same status by using the Change All button at the bottom of the Close Meeting wizard.
- Click the Change All button and select the new status type from the list on the Change All Status Types prompt.
- Status type options include Registered, Attended, Waiting, Cancelled, or No Show.
- Status type options include Registered, Attended, Waiting, Cancelled, or No Show.
- Click OK and OK again to confirm the new registration status.
- The registrants whose status has changed to Cancelled, Waiting, or Attended are now listed in either the Cancelled, Waiting List, or Attendees sub-tabs on the Meetings tab of the Products record.
