Creating a New Meeting Products Record from an Existing Record

Follow these steps to copy an existing Meeting product in Aptify using the New Meeting wizard:

  1. Open the New Meeting wizard from the Meetings Service.
  2. Provide the name, ID, or use the Find to locate the Meeting you want to copy.



  3. Click Next to continue.
  4. If desired, modify the meeting product's name in the New Product Name field. 
    • This name will also flow down to the New Meeting Name field.
    • Note that the new Meetings record will retain the same name as the existing Meetings record unless it is manually updated.
  5. If you want to specify a different name for the meeting, clear the Other Names Same As Product Name option and edit the New Meeting Name field.
  6. Make any desired changes to other fields on this page and then select Next.
  7. Make any selections for the items that you want to copy from the source record. This section of the wizard allows users to copy specific details from the existing meeting including Speakers, Hotels, Pricing, and so on...
  8. Select the Sessions you want to include in the new meeting.
    • Note that any sessions available from the source meeting will be displayed in the grid and selected by default. They can be included or excluded on an individual basis.
    • Sessions Start Date and End Date, by default, are calculated based on the main meeting date and relative to the dates/time specified for the source session.
    • For the sessions that you want to copy you can edit the Meeting Title and dates within the grid or double-click to open the form.
    • The wizard will copy information from the original session to the new session based on the options you checked above.

  9. Click Finish to complete the wizard and create the New Meetings Product Record.
  10. Review the new meeting and add or modify additional information as need.
