Booths can be combined together to make a larger booth. Conversely, combined booths can be separated into their original booth configurations. Both of these functions are handled using the Booth Combination wizard. This wizard can be accessed from any Booths view or from the Booths tab of the Floorplans record.
This section describes how to use the Booth Combination wizard to perform the following tasks:
Do not modify booths for floorplans that link to a third-party system within Aptify. All booth-related changes should occur within the third-party floorplan system and then be synchronized back to Aptify. See Linking a Floorplan to EXPOCAD Desktop for details.
Combining Booths
Two or more booths can be combined to create one larger booth if the floorplan status allows editing booths. This is done by using the Booth Combination wizard.
- Select the Booth Combination Wizard icon from any Booths view. The wizard launches, displaying the Welcome page. Click Next.
- Enter the Floorplan that contains the booths to combine and click Next.
- The Options page provides a choice to either combine booths or separate booths that were already combined. Select the Combine Booths option and click Next.
- A list of booths for the selected floorplan displays. If a booth has already been assigned to a customer, it is not included in the list.
- Indicate the booths to combine by selecting the check boxes in the Selected column, and click Next.
- Determine which booth will be the surviving booth. The surviving booth is the booth number that remains available to the customer. Select the surviving booth and click Next.
- The confirmation page displays all booths being combined. However, the combined value for units, width, length, maximum number of registrants, and complimentary registrants for all of the booths is shown only for the surviving booth. If necessary, edit the dimensions of the surviving booth.
- After editing any information necessary for the surviving booth, click Finish to combine the booths.
- Once the booths are combined, the user is prompted to continue using the wizard to -combine booths or separate already-combined booths. Select Yes to return to the wizard, or No to close the wizard.
When booths are combined, the system updates the Booths record for all booths combined into the larger booth. The non-surviving booth is no longer available for purchase, and the surviving booth has increased in size and number of units required for purchase.
Breaking Apart Combined Booths
If booths were previously combined to create a single larger booth, the surviving booth can be separated to the original booths. This is only possible if the surviving booth is not assigned to a customer and if the floorplan status allows booths to be edited.
- Select the Booth Combination Wizard icon from any Booths view. The wizard launches, displaying the Welcome page. Click Next.
- Enter the floorplan that contains the booth to split and click Next.
- The Options page provides a choice to either combine booths, or separate booths that were already combined. Select the Break Apart option and click Next.
- A list of previously combined booths for the selected floorplan displays. If a booth has already been assigned to a customer, it is not included in the list.
- Indicate the booth to separate by selecting the check box in the Selected column, and click Next.
- The next page of the wizard displays a list of all booths that were originally combined but are now separated into individual lines in a grid. Edit the cells in the grid to specify the dimensions for each of the separated booths. The wizard does not set the booths back to the dimensions they had before they were combined, so for all booths being restored, the data defaults to zero.
- After editing the grid, click Finish to separate the booths.
- Once the booths are separated, the user is prompted to continue using the wizard to -combine booths or separate additional booths. Select Yes to return to the wizard, or No to close the wizard.
