Running the Client-Specific Reports

Some organizations require client-specific reports, which are created using Crystal Reports or SQL Server Reporting Services. Aptify provides several sample reports that demonstrate how an organization might use Crystal Reports in the system. See Creating Client-Specific Crystal Reports in Aptify and Creating Client-Specific SSRS Reports in Aptify for information on creating client-specific reports.

Crystal Reports are typically set up and categorized by the system administrator (for information on how to add client-specific reports to the system, see Adding Reports to an Entity). Each specified category is included as an additional tab on the first Report wizard screen and the additional reports display on those tabs.

Additional report categories could include Membership, Analysis, and Accounting, depending on the service in which they are found. If additional report categories are required, contact the system administrator.

Follow these steps to access additional reports:

  1. Launch Report wizard.
  2. Select the tab that shows the category for the desired report.
  3. Select the desired report and navigate through the Report wizard.
  4. Click Finish to display the report using the appropriate viewer (Crystal Reports or SSRS).

  5. Use the viewer's toolbar to navigate the report, browse through multiple pages (if applicable), and export the report to another format, such as Microsoft Word or Adobe PDF.

    Notes Regarding Crystal Reports in Aptify

    • Aptify installs the files needed to load (but not create) Crystal Reports. To create new Crystal Reports, a report writer uses a licensed copy of Crystal Reports (2008 or XI R2) or the Crystal Reports designer included with Visual Studio.
    • Crystal Reports XI R2 is also known as Crystal Reports 11.5. Aptify is not compatible with Crystal Reports XI (11), and reports will not load properly if a user has this version installed on his or her computer. Crystal Reports XI R2 is a free upgrade to Crystal Reports XI and is available for download on the Business Objects website.
    • If the report displays data from one or more HTML or XML fields, the HTML tags should not appear within the report if the report designer followed Aptify's best practice recommendations for writing Crystal Reports for use with Aptify. See Note Concerning HTML and XML Fields in Crystal Reports for more information.

Exporting a Client-Specific Report from Crystal Reports

  1. Within the Crystal Reports viewer, select a format type from the drop-down list located to the left of the Export icon on the Crystal Reports toolbar.
  2. Click the Export button.
  3. Browse to the network location where you want to store the file and enter a file name.

Exporting a Client-Specific Report from SSRS

Aptify 6.0 has support the Microsoft SQL Server Reporting Service (SSRS) reports. Using Microsoft Report Viewer 2012, you can export to Excel and PDF from the drop-down menu. If your environment has a license for Microsoft Report Builder, you can export SSRS reports to many additional formats, including Microsoft Word, CSV, HTML, and XML.

About the Crystal Report Export Types

Aptify supports several different export formats within the Crystal Reports Viewer:

  • No Format: No export format specified. When this option is selected, the report is not exported when the Export icon is clicked. This is the default option.
  • Crystal Report: Exports the report in the Crystal Report (.rpt) format.
  • Rich Text Format: Exports the report in Rich Text (.rtf) format.
  • Microsoft Word (97-2003): Exports the report in the Microsoft (.doc) format. This export format is fully compatible with Word 97-2003.
  • Microsoft Excel (97-2003): Exports the report in the Microsoft Excel (.xls) format including column heading. This export format is fully compatible with Excel 97-2003.
  • Microsoft Excel (97-2003) Data-Only: Exports the report in the Microsoft Excel (.xls) format with no column headings. This export format is fully compatible with Excel 97-2003.
  • Portable Document Format: Exports the report in the Adobe portable doc (.pdf) format.
  • HTML 3.2: Exports the report in the HTML 3.2 (.html) format. Note that exporting the report in this format will create an HTML32 folder in the target location that will contain the exported file.
  • HTML 4.0: Exports the report in the HTML 4.0 (html) format. Note that exporting the report in this format will create an HTML40 folder in the target location that will contain the exported file.
  • Text: Exports the report in the plain text (.txt) format. Note that fields are separated using a tab delimiter.
  • Character-Separated Values: Exports the report in the comma separated value (.cvs) format. Each value is separated using a comma delimiter.
  • Tab-Separated Text: Exports the report in the tab separated (.txt) format. Each value is separated using a tab delimiter.
  • Editable RTF: Exports the report in Rich Text (.rtf) format and allows users to edit the report output using any word processing application.
  • XML: Exports the report in the Extensible Markup Language (.xml) format.
