Adding Attachment and Loading a Message

When composing a message, you can include one or more attachments to distribute to your recipients. Aptify's Bulk Messaging allows users to add files external to Aptify or to attach files or reports that are associated with the entity the Messaging function is being run from. For example, when composing a message from the Orders service, a user can select any order-related report and associate it with the message and/or select an attachment located on the user's local machine.

Refer to the following steps to include an attachment with your message:

  1. On the Aptify Messaging form, select the Attachments tab to display the options for attaching files to your message.
  2. To select your attachment(s) do the following:
    • Select the Attach file button to open the Window's Explorer Find File dialog and locate the file you would like to attach. Select the file you would like to add and click the Open button, your file will display in the pane below.
    • Select the Report you would like to add and choose the Export Format for the selected report.
    • Export formats include PDF, Rich Text Format, Editable Rich Text Format, MS Word, MS Excel, Text, Character Separated Values, Tab Separated Text and XML.

  3. Review your attachments and complete the remainder of the required details in the Aptify Message Form to send your message. 

 

Crystal Reports that include message prompts, for example reports that include prompts that are embedded in the report itself, cannot be attached to a message (refer to the A/R Trial Balance Report for an example of this embedded prompt).

 

Loading a Message Template

Messaging templates allow the user to create bulk messages quickly and easily, using predefined templates for the messages. These templates can define the text of the message as well as the message subject, and the To and From addresses.

  1. Select Open Template from the top menu bar on the Aptify Messaging form. The Load Template dialog box appears, listing all templates available to the user for this Message Source.
  2. Select a template from the list and click Ok. The template loads into either the Plain Text Message tab, the HTML Message tab, or both tabs, depending on how the Message Template text was defined when it was created.

    • If the message system specified in the template is different from the Messaging dialog's default, a notification appears prompting the user to override the Messaging dialog's default setting. 
      • Click OK to use the message system specified on the template or Cancel to use the Messaging dialog's default settings.
         
    • If the selected message template has message actions specified and/or the entity in which the template is being loaded from has associated message actions, a user must confirm whether or not to replace any existing actions for the service with the actions (if any) associated with the selected message template.
      • Click Yes to delete the existing actions associated with the service and add the actions associated with the template. Select No to use the message action (if any) associated with the service.
