Viewing Class Registration Reports

Aptify Learning Management System (LMS) adds the LMS Shared Views folder in the Class Registrations service (the folder is owned by sa). The folder contains three views:

  • Registrations by Course Part
  • Course Part Status by Class
  • Registrations with Status Differences

The following sub-topics describe how to run these LMS shared views to analyze class registration data.

Viewing the Registrations by Course Part Report

The Registrations by Course Part view provides registration data on a single course part or all course parts. The resulting report lists the data in a table with a row for each student that has registered for a course part. The table identifies the course part, the student, the class registration status, the course part status, time taken per course part, and date information, including as start and end dates, registration date, and completion date.

Time taken per course part is the cumulative amount of time (in minutes) taken by a student to complete a course part over all attempts.

Perform the following steps to run the Registrations by Course Part report:

  1. In the Class Registrations service of the Education application, open the LMS Shared Views folder.
  2. Click the Registrations by Course Part icon. A prompt dialog display.
  3. If you want to view registration data for a single course part, do the following in the prompt dialog:
    • If you know the ID number for the course part, enter the ID number in the Course Part ID field and clear the default value in the Course Part Begins With field.
    • If you know all or part of the name of the course part, leave the default value in the Course Part ID field and enter all or part of the course part name in the Course Part Begins With field.
  4. If you want to view registration data for all course parts, leave the default value in the Course Part ID field, and clear the default value from the Course Part Begins With field.
  5. Click OK to run the report.

Viewing the Course Part Status By Class Report

The Course Part Status by Class view provides course part status data on a single class or all classes. The resulting report displays the data in two ways: a bar graph showing how many students currently in Completed or In-Progress status (Chart tab), or as a table with a row for each class showing how many students are in each course part status i.e., Completed, Failed, In-Progress, or Passed (Summary Data tab).

Perform the following steps to view the Course Part Status by Class report:

  1. In the Class Registrations service of the Education application, open the LMS Shared Views folder.
  2. Click the Course Part Status by Class icon. A prompt dialog display.
  3. If you want to view course part status data for a single class, do the following in the prompt dialog:
    • If you know the ID number for the class, enter the ID number in the Class field and clear the default value in the Class Name Begins With field.
    • If you know all or part of the name of the class, leave the default value in the Class field and enter all or part of the class name in the Class Name Begins With field.
  4. If you want to view registration data for all course parts, leave the default value in the Class field, and clear the default value from the Class Name Begins With field.
  5. Click OK to run the report.

Viewing the Registrations with Status Differences Report

The Registrations by Course Part view provides registration data on a single course part or all course parts. The resulting report lists the data in a table with a row for each student that has registered for a course part. The table identifies the class, course part, student, class registration status, course part status, scores, time taken per course part, and date information, including as start and end dates, registration date, and completion date.

The view highlights Class Registrations that have a Status that is different from one of its Course Parts. Leveraging a view like this is one way for a user to manually identify Class Registrations that are ready for processing (that is, marked as passed or failed), or the view can act as the source for an automated scheduled task that could update a Class Registration's status to match the Course Part status on a recurring basis (for example, change the Class Registration to Passed if there is only one Course Part tied to the course and if the student has passed that course part).

Time taken per course part is the cumulative amount of time taken (in minutes) by a student to complete a course part over all attempts.

Perform the following steps to view the Registrations with Status Differences report:

  1. In the Class Registrations service of the Education application, open the LMS Shared Views folder.
  2. Click the Regs with Status Differences icon. The report displays.
