Configuring Referral Requests

If your organization works with partners on opportunities and generates referrals as necessary based on requirements that the organization cannot fulfill, you should update the form layout of the Referral Requests form to add additional tabs.

Adding the Topic Codes Tab to Referral Requests

Aptify matches a vendor's topic codes with those selected on a Referral Requests record to automatically generate a list of qualifying vendors. However, a Topic Codes tab does not appear on the Referral Requests form by default, so you need to add one if it is not there already. Follow these steps:

  1. Open a new or existing record in the Referral Requests service (located in the Sales Force Automation application).
  2. If a Topic Codes tab already exists, the procedure is complete. Otherwise, go to the next step to add a Topic Codes tab to the Referral Requests form using the Aptify Form Template Tab wizard (see Using the Form Template Tab Wizard for information on this wizard). 
  3. Right click in the tab area and select Configure from the pop-up menu.

  4. Within the Configure Tab dialog, click the Add Parts… button to open the Select Part dialog.
  5. Select the Referral Requests Form Parts category in the left side of the dialog and then review the parts on the right hand side of the dialog to see if a Topic Codes part is already displayed.

  6. If the Topic Codes part does not appear, complete these steps:
    1. Within the Select Part dialog, click the New Part button to launch the Aptify Form Template Tab wizard.
    2. Select Topic Codes as the Tab Type and click Next to continue.
    3. Enter a name for the tab (like Topic Codes) and click Next to continue.
    4. Click Finish to complete the wizard.
  7. In the Select Part dialog, select the Topic Codes part and click OK.
    • If you are a system administrator in Aptify, the system may prompt you to decide if this change should apply just to your user or to all users (i.e., a global change).
  8. In the Configure Tab dialog, use the arrow buttons to move the Topic Codes tab to the desired position in the tab layout.
  9. Click OK to close the Configure Tab dialog. The Topic Codes tab should now appear on the form in the location you specified.

Adding the Referrals Tab to Referral Requests

If you are responsible for managing referral requests and then creating referrals, you may find it useful to add a tab to the Referral Requests form that displays the Referrals records linked to it. This can simplify the process for creating new referrals (for example, a new referral opened from a referral request automatically links to that referral request).

Follow these steps to add a Referrals tab to the Referral Requests form:

  1. Open a new or existing record in the Referral Requests service (located in the Sales Force Automation application).
  2. Right-click in the tab area and select Configure from the pop-up menu.
  3. Within the Configure Tab dialog, click the Add Parts… button to open the Select Part dialog.
  4. Select the Referral Request Related Service Tabs category in the left side of the Select Part dialog.
  5. Select the Referrals part in the right side of the Select Part dialog.

  6. Click OK
    • If you are a system administrator in Aptify, the system may prompt you to decide if this change should apply just to your user or to all users (i.e., a global change).
  7. In the Configure Tab dialog, use the arrow buttons to move the Referrals tab to the desired position in the tab layout.
  8. Click OK to close the Configure Tab dialog. The Referrals tab should now appear on the form in the location you specified.
