Aptify provides the ability to add a preview pane to list views so a user can preview information and update records without having to open a form. Once a default pane has been specified by an administrator, a user can select a specific record within a list view for the entity and preview the record below the view.
In Aptify, the Persons and Companies services have the Preview Pane feature enabled by default. Both preview panes show the information from the top area of the corresponding service's form. For the Persons service, the person's name, title, and company affiliation are shown in the preview pane. For the Companies service, the company's name, the parent company, company type and company's account manager are shown.
Note to Administrators
To implement this functionality, a Form Template must be specified in the Default Preview Pane field for the entity (on the Entities record's Configuration > General tab). See Specifying a Default List View Preview Pane for details.
The Preview Pane includes the following features:
- Enabling the List View Preview Pane to be Displayed by Default
- Toggling the List View Preview Pane
- Browsing and Editing Records with the Preview Pane
Enabling the List View Preview Pane to be Displayed by Default
When creating or modifying a list view, a user can specify whether or not the Preview Pane should be enabled by default. By selecting the Show Default Preview Pane option in the General tab of a List view's View Properties dialog, the view will include the preview pane by default.
- The Show Default Preview Pane option only appears in the View Properties dialog if the service has a preview pane defined by the administrator. By default, the Persons and Companies services each have a default preview pane defined in Aptify.
- Note that using the Toggle Preview option to disable or enable the Preview Pane changes the default setting in the view's properties. See Toggling the List View Preview Pane for more information about using the toggle feature.
- The Show Default Preview Pane option can only be enabled for views that you have created and that you own. You cannot enable or disable the Preview Pane for views that you are sharing or for views created by others that appear in a dashboard.
Toggling the List View Preview Pane
A user can enable and disable the Preview Pane in a List view by clicking the Preview button on the view's toolbar. When the option is highlighted, the preview pane is enabled.
- Note that using the Preview button to disable or enable the Preview Pane in a List view changes the default setting in the view's properties. See Enabling the List View Preview Pane to be Displayed by Default for details.
- Since modifying the Preview toolbar option changes the value of the Show Default Preview Pane option in the View Properties dialog, you cannot turn the Preview Pane on or off for views that you are sharing or for views created by others that appear in a dashboard.
Browsing and Editing Records with the Preview Pane
When the preview pane appears at the bottom of a view, select a particular record to load its details in the preview pane. To move between records, you can use the mouse or the keyboard arrows to scroll through the records in the view (loading each newly selected record into the preview pane).
You can also modify record data directly within the preview pane. Follow the below steps to edit records with the Preview Pane, when available:
- Open a list view that includes the record you want to edit.
- Use the Toggle Preview option in the view's toolbar to enable the preview pane, if not already enabled. See Toggle Preview Option for more information about using the toggle feature.
-
Select the record that you want to edit.
- The preview pane will display below the list view with the data specified in the record.
- In the example below, Zahina Miller's record is selected.
- Modify the data fields directly in the Preview Pane.
- Zahina Miller's Title is changed from Customer Support Associate to Customer Support Manager
-
When finished, click the Save icon in the toolbar (third button from the left) or select a different row within view. If you selected a different row, then click Yes to save the changes to the record when prompted.
- Repeat steps 2 through 4 to edit additional records within the view as necessary.
