Follow these steps to modify an existing housing reservation:
- Open the Housing Reservation Guests record for the guest whose reservation you want to modify.
- You can open this record either directly from the Housing Reservation Guests record or by opening the Housing Order Lines record on the order from which the reservation was made.
- If you charged a reservation fee and want to refund it to the customer/member as part of a reservation cancellation, cancel the reservation as described in this section and then create a cancellation order for the original order to refund the reservation fee.
- Modify a guest's reservation details on the General tab as necessary.
- Click the Details tab and modify the rooms that the guest has reserved, as necessary, by adding, deleting, or modifying Housing Reservation Details records.
- To cancel an existing guest, change the guest's Status to Cancelled, run the Meeting Transfer wizard to transfer the cancellation details and delete the Housing Reservation Details record that appears on the Details tab.
- The reservation's updated status will be transferred to the hotel and deleting the Housing Reservation Details record frees up the rooms so they can be reserved by other guests.
- Save and close the record when finished.
If you transferred the guest's information to a hotel prior to modifying the record, Aptify automatically changes the record's Status field from New to Modified (unless you manually set this field to another value, such as Cancelled) and changes the Transfer Status field from Completed to Pending (since the modified reservation details need to be sent to the hotel).
